Bribery, the practice of giving and receiving certain gratuities to influence people’s actions, is frowned upon by reputable organizations, including PT Kimia Farma Trading & Distribution (KFTD). As the state-owned pharmaceutical distributor in Indonesia, also as part of Kimia Farma Group, KFTD works hard to prevent bribery (and corruption) within its organizational structure.
One of the company’s methods to prevent such practices is developing a gratification management guideline involving gratuity reporting. This guideline enables employees to report potential gratuities to ensure the company is run with trust, transparency, and accountability.
How Do Employees Report Gratuities?
Employees are told to reject gratuities respectfully when given to them directly. However, it can be complicated to categorize certain gifts (e.g., wedding donations or dining treats) as gratuities because they are given under the guise of different events.
An employee who receives indirect gratuities should send a written report to the UPG (Gratification Management Unit). The gratification form can be sent in two ways: hard copy or email (in a scanned JPEG/PDF format). The employee must do it within 10 days of receiving the potential gratuities.
After receiving the report, UPG will decide whether the gift is considered gratuity. At this stage, the employee might be summoned to provide testimony. If the gift is considered gratuity, the company will confiscate it. However, if it is not, the employee can claim the gift.

This gratification management guideline ensures the maintenance of KFTD integrity. Employees know the importance of differentiating gifts given in good faith from the ones handed to them to influence their jobs.
Additionally, our reporting system is designed to be fair. It allows employees to report potential gratuities within a certain timeframe (10 days) without immediate punishment. This approach is meant to reassure employees that we value their honesty and encourage more people to come forward.
